Hyperautomating operational file processing

An end-to-end automation chain, from reading documents to updating systems, with human review for exceptions.

Our role
Solution architect: application integration, data flow automation, APIs, process orchestration and document processing components.

The context

An employee receives a file, for example an insurance claim, containing a form, several supporting documents and client information.

Before processing the request, they must open the documents, find the relevant data, compare it with existing records, check business rules and enter the results in several systems.

The problem isn't just data-entry time: missing or inconsistent information can trigger rework, a hand-off to another department or a delay. Across 15,000 files a year, a few minutes lost per file quickly becomes a significant workload.

The solution

An automation chain combining:

  1. 1OCR and document analysis to extract information;
  2. 2validation rules to check file consistency;
  3. 3APIs to query and update integrated systems;
  4. 4RPA for legacy applications without APIs;
  5. 5human review for exceptions and sensitive decisions.

Everything is orchestrated to track each process step, errors and required interventions.

Potential impact (modeled scenario)

Files per year
15,000
Effort removed per file
14 min
Annual value freed up
$140K

Assumptions: 20 minutes of manual handling per file, 70% of which is removed (14 minutes). 15,000 files × 14 minutes = 3,500 hours, valued at $40 per hour.

Illustrative impact based on modeled scenarios: the figures shown are simulations, not measured results.

What changes

Beyond productivity, requests are processed faster, with better traceability and fewer hand-off errors between applications.
